The closing group consists of all actions required to close and terminate all process groups and procurement. This includes preparing the processes and procedures to identify and close all programs, phases and other actions pertaining to the overarching program or project. Additionally, this group verifies that all required contractual obligations have been met.

4.6 Close Project or Phase

Process Definition

Closing a phase/project involves completing all activities and deliverables of a project. This results in a completed project, program or phase. Additionally, this process involves steps to ensure all items are fully completed and that no items remain that could obligate the company to a new endeavor or action.

Process Assessment

Closing a project or phase ensures that a systematic process is developed to ensure all items, actions and deliverables are closed. This process is beneficial because it ensures the processes and steps to close encompass every process group. Overall it ensures that all deliverables and documents are complete. One positive deliverable from this process is a lessons learned document which details important takeaways that can be used for future projects.

1) Sponsor Accepted Deliverables: Accepted deliverables may include approved product specifications, delivery receipts, and work performance documents  Partial, interim deliverables or cancelled projects could also be an accepted deliverable.

2) Expert Judgement: Trade-Offs is an essay written an assignment which describes project trade-offs.

3) Final Product, service, or result transition: Transition requirements describe temporary capabilities, such as data conversions and training needs.  This letter suggests that there are several areas of improvement needed  for an airline that was evaluated.

12.0 Project Procurement Management

12.4 Close Procurement

Process Definition

Closing procurement involves closing all open procurement and contractual obligations. This includes the making sure all budgetary, requirement deliverables and agreements are complete and accurate. Overall, this process involves the closing and/or termination of contracts and agreements.

Process Assessment

This process involves steps to ensure all items are fully completed and that no items remain that could obligate the company to a new endeavor or action. When accomplished correctly, this process relieves the company and project from any future litigation or obligations.

1) Procurement Documentation: Letter of correspondence about the schedule being changed on the procurement for a class assignment on a virtual team.

2) Records Management System: A specific  set of processes, related control functions, and tools that are consolidated and combined to record and retain information about the project.  This was an essay that was written about the Closing Process Documents.

3) Organizational Assets Process Updates: Documents from an organizations historical documents or lessons learned fit this category.  These documents assist in making sound judgement on decisions about how the organization accomplishes their goals.
